Introduction

The following sets out the Terms and Conditions which each race participant agrees to at the point of entry. Each participant is required to accept these terms before an entry will be accepted and processed.

Minimum Age Restrictions by Distance

5K – 15 years old on Race Day.

Mini Marathon – 4 years old on Race Day. Children under the age of 11 must be accompanied by an adult who has also registered in the same Event.

Half Marathon – 17 years or older on Race Day.

Entry Details

Each entrant must fill in their own details to enter an Event. An email address is required for all entries. All correspondence will be via email. A separate email address for each participant is preferred but not required, however please note if you do not supply a separate email address for each participant Goldline Events cannot be responsible for information not being passed on to a participant.

All participants must acknowledge and agree that personal information (including medical information entered on their runner bib or collected by medical staff during or after the Event) can be stored, used and disclosed by Goldline Events Limited (Goldline Events) in connection with the organisation, promotion and administration of the Event and for the compilation of statistical information. For more information we encourage you to read the Goldline Events Privacy Policy on each Events website.

At the total discretion of the organisers all entry fees are non-refundable, non-deferrable and non-transferable, even in the case of an Event cancellation.

Your Health

Running is a physically active sport. You should always seek advice from your GP before taking up a strenuous physical pursuit such as this. You accept that you do so entirely at your own risk and that it is your responsibility to ensure that you are fit and able to take part in the Event. Please do not take part if you feel unwell.

Each participant must agree to the disclaimer and these terms and conditions before participating in the Event. All participants understand that they enter the Event at their own risk and that no person(s) or organisation(s) will be held responsible for any accident, injury or loss, prior to, during or after the Event. Registrants must be capable of completing the full distance, start line to finish line.

Goldline Events and its volunteers do not accept responsibility for injury, loss and damage sustained by a participant unless the above injury, loss and damage is proven to have been caused as a direct result of negligence on the part of the organisers.

Race Day

By taking part, all participants confirm that they are happy for their names and any footage or photographs taken during their participation in the Event to be used to publicise any Goldline Event race.

Participants must follow instructions as given from all Event officials including race staff, volunteers, medical personnel, security officers and city officials throughout the duration of the Event.

All participants are expected to conduct themselves in a professional and courteous manner. This means, for example, that urinating or defecating anywhere on or near the course shall be strictly prohibited except in toilet facilities. Anyone violating this rule shall mean a person will be disqualified from all future Goldline Events and will be asked to leave the site.

Numbered runner bibs are specific personal identifiers, which are unique to you. They cannot be exchanged, given to or sold to any other person. Runner bibs must be worn on the front and as issued. No participant shall be permitted to participate in the Event without the appropriate bib number. All participants must write their name and details of any health problems or medication on the reverse of the Event number, which must be worn on the front of their shirt during the run.

Baby joggers, buggies and baby strollers are permitted at some races, it is the responsibility of the participant to confirm this before they enter. If entering a race where they are permitted they must begin the Event during the official recognized starting times and in the interest of safety should start from the back of the group.

Bikes, stilts, roller skates, skateboards, etc. are not permitted and those attempting to do so will be prohibited from starting and may be forcibly removed from the course mid-race. Likewise, anyone attempting to start or join the race in any outfit that we, in our absolute discretion, deem unsuitable and/or dangerous to other competitors or spectators, will not be allowed to start the Event or, if on the course, may be removed.

Event officials reserve the right to delay, postpone, cancel, alter the route, or not officially time the race in adverse weather conditions or other events outside of the organisers control. The determination of what constitutes this is reserved solely by Goldline Events. No refund will be issued in these circumstances.

The Race Village of each Event is free for all to access and enjoy, please respect the area and use the bins provided, fires are not permitted in any area and will be extinguished. Once the Race Village closes, please respect the residents nearby and leave the site quietly. Alcohol will be available to buy on site, if you look under 21 please do not be offended if we ask you for proof of age, please bring suitable ID. Goldline Events operates the ‘Challenge 21’ policy.

Merchandise

If for any reason you are not satisfied with your T-Shirt you may exchange it at the Event or return it within 15 days for exchange or refund providing the goods are unused and have all original tags. We are unable to accept back any goods that have been worn or laundered, unless they are faulty. Postage charged at the time of sale is non-refundable. Any return postage is covered by the customer. Please send returned goods, with a short note stating why you are returning the item or with your new size and return address for an exchange to: Goldline Events, The Old Casino, 28 Fourth Avenue, Hove BN3 2PJ.

Disclaimer

In order to run in a Goldline Events race, runners must agree the following disclaimer: “In completing this entry I declare that I, or anyone that I am paying for, will not compete in the Event unless medically fit to do so and that, in any Event, we will compete at my/our own risk. I accept that the organisers will not be liable for any loss, damage, action, claim, costs or expenses which may arise in consequence of my/our participation in the Event. I/We understand that entry fees are non-refundable. I also hereby give my permission to use my/our name, quotes, video footage, and photographic likeness for marketing and promotional purposes. I also agree to the full Terms and Conditions as displayed on the Event website.”

Refund Policy

At the total discretion of the organisers all entry fees are non-refundable, non-deferrable and non-transferable, even in the case of an Event cancellation.

Transfer Policy

Entries cannot automatically be transferred from one Event to another. If you are unable to attend an Event and would like your entry transferred to another please contact the Goldline Events team with your request. Each request is individual and as such will be assessed on an individual basis.

Amending Your Entry

You can amend your entry at any time up to the point where Goldline Events have downloaded your data and the process of sending your race pack is underway. Simply go to the Amend Your entry button on the website. Information which can be amended includes your postal address, contact number, emergency contact and finisher time.

You may also transfer your entry to another person, however please note if the name fields are changed all fields will automatically be cleared, you must enter each field with the correct information for the new entrant before the change is accepted.

Deferral Policy

In the event of injury which prevents a registered participant from taking part in the Event, we offer deferral to the following year’s race. This MUST be supported by a note from either a Doctor or Physiotherapist. To apply, please go to the Race Deferral page on the Event website, follow the instructions and attach a copy of the supporting note/certificate – without the relevant supporting document your deferral may not be considered.

All deferrals will not be processed until following the date of the race you have entered. If successful you will receive a confirmation of your deferral, your deferral is not complete until you have received this confirmation.

Deferrals are granted at the absolute discretion of the Event organiser. A deferral permits one standard entry to the same race as previously entered for the following year. Deferrals are only valid for the following year’s Event and will not be ‘rolled over’ or extended. No additional purchases (Race T-shirts etc.) will be carried over. Deferrals may not be transferred to another runner. Deferrals may be revoked at the absolute discretion of the Event organiser at any time without notification.

Privacy Policy and Data Protection

The privacy of our race entrants is extremely important to us so please take time to look at the Privacy Policy on each Event website to see why we collect this information and how we use your data.

We only use the information we collect about you lawfully, in accordance with the Data Protection Act. We will never sell, trade or rent your details to any third parties. We collect personal information about you (name, address, email etc) when you enter the race. Your details are only used to provide you with the Service you have requested, if you change your mind about receiving any information from us at any time, you can ‘unsubscribe’ by clicking on the unsubscribe link on an email or by emailing info@goldlineevents.co.uk. However please be aware that some details are necessary for your race entry, if you do ask us to delete them your entry maybe cancelled.
